Privacy Policy
What Habitask collects, why, who touches it, how access codes are handled, and how long records are kept.
The short version
We collect what we need to do the work and bill for it, we keep it no longer than we have to, we do not sell it, and we do not share it with anyone who is not helping us deliver your service. If you want to know what we hold about you, ask and we will tell you.
1 · What we collect
- Contact details — your name, phone number and email address.
- Property details — the service address, and anything you tell us in order to get us in and get the work done: gate codes, lockbox codes, where the water shutoff is, which dog is friendly.
- Job records — what you asked for, what we quoted, what we did, what we found, what we recommend next.
- Photographs of the work and the conditions around it.
- Payment records — what you were charged and whether it was paid. We never see or store your full card number; Stripe holds that.
- Website analytics — basic, aggregate traffic information. We do not run advertising trackers that follow you around the internet.
2 · Why we collect it
To schedule and perform your work, to quote and invoice it, to keep a service history for your property, to meet our tax and insurance obligations, and to contact you about your own jobs and plan. That is the entire list.
We will only send you marketing if you have asked for it, and every marketing message will have an obvious way to stop receiving them.
3 · Access codes and keys — how we treat them
Gate codes, lockbox codes and alarm information are the most sensitive thing you give us. We treat them accordingly:
- They are stored only where we store your other service details, never in a notebook in a truck, a group text or a shared spreadsheet.
- They are visible only to the person performing your work.
- When you stop being a customer, or you ask, they are deleted.
- If a code is ever compromised on our side, we will tell you the same day and tell you to change it.
4 · Who else touches your information
Only the services that make the business run, and only the part each one needs:
- Stripe — payment processing and card storage for care plans.
- Cal.com — booking your visits.
- Our email and calendar provider — correspondence and scheduling.
- Licensed trade partners — when your job needs an electrician or plumber, they get what they need to do that job and nothing more.
- Our accountant and, if it ever comes to it, our insurer or our lawyer.
We do not sell your information, and we do not share it for anyone else's advertising.
5 · The customer portal
PENDING-PORTAL. When the member portal goes live, this section will state exactly where portal data lives, how it is encrypted, who can see what, how accounts are secured, and how long records are kept. That wording will be finalised before the portal accepts a single real customer record, and this policy will be updated and dated on the same day.
This paragraph is deliberately visible rather than quietly omitted. A privacy policy that promises things the system does not yet do is worse than one that says plainly what is still being built.
6 · How long we keep it
- Job and invoice records — seven years, for tax and for the warranty period that follows the work.
- Photographs — for the life of the service relationship, and then in the job record.
- Access codes — deleted when the relationship ends, or sooner on request.
- Quotes that never became jobs — two years, then deleted.
7 · Your rights
Ask us and we will tell you what we hold about you, correct anything wrong, and delete what we are not legally required to keep. Call or write to the number on this document. We will answer within thirty days, and normally much faster.
Colorado residents have rights under the Colorado Privacy Act. Nothing in this policy limits them, and we will honour a request under it the same way we honour any other.
8 · Children
Our services are not directed at children and we do not knowingly collect information about them.
9 · If something goes wrong
If customer information is ever exposed, we will tell the people affected directly and promptly, say what happened and what we are doing about it, and meet whatever notification obligations Colorado law imposes. We will not quietly hope you do not notice.
10 · Changes
Last updated September 24, 2026. Material changes will be dated here and, where they affect you, told to you directly.
